1. Use a folder and file-naming convention

The first thing you should do before you save a single file to the cloud is decide on how you are going to name your folders and files. This labeling system will require all the key information that you might need so that you can easily keep track of your files and data. 

While your naming convention may need to employ a variety of elements, such as dates, subject matter, types of files, version numbers and more, the most important thing is that you decide on how you’ll do it, and stick to your system consistently. Failing to do so could result in files being lost and being difficult, if not impossible, to track down, depending on the type of file and the work you do. 

For example, for someone who produces daily reports for an online casino, failing to put the correct date on a document may mean that you cannot find it when you need to. Here is one type of convention that might work for someone who generates reports regularly: [Report]_[Type]_[Year]_[Month]_[Day]. The file that’s named “Report_CasinoGames_2021_02_01” will be far easier to find with a file search than digging through daily files that are just named “Report_CasinoGames_2021” with a random name after it, or even “Report_CasinoGames_2021_02” that don’t follow a strict naming convention for the rest of the file. 

What should be a simple task could become a lot more time-consuming as you have to manually search for a document. This file could otherwise be found in seconds with the right labeling process. 

2. Create your main folders and subfolders for your files as you need to

Sometimes you will need to subdivide categories of folders. For example, if you’re storing family photos that you took on your Paris vacation, you may want to start with a main folder named after the destination and when you took it, such as “Paris Holiday July 2018”. This could then be followed by additional subfolders such as “Eiffel Tower,” “Le Louvre,” “Versailles Palace Tour” and other key visits during your trip.

If you’re storing files for an important video project, you could begin with the name of the project itself for the main folder, such as “Top Online Casinos YouTube Video,” before adding additional subfolders for the other files, such as “Stock Footage,” “Draft Edit,” “Version 1” and so on. It’s important for you to date the files as you work on them, on the off chance that you need to revert to an earlier version of your project.

3. Add tags if the service allows

Tags are subjects that you can manually add to a file or folder to make it easier to search for, but are not available on every cloud service. For example, you could add the tag “holiday snaps” to your holiday photos, making them searchable using the term “holiday snaps.” Or you could add the tag “live casino online” for all the spreadsheets that you keep for your spending when you play live dealer games at an online casino, regardless of whether that spreadsheet is for live dealer roulette or live dealer blackjack.

4. Regularly sort and delete files as necessary

Depending on what you’re using the cloud service for, you may need to take the time to sort and remove files from the cloud service as necessary. While many cloud services offer terabytes of data, by reviewing your files regularly, you can save money by only keeping the data that you need in the cloud, and getting rid of the rest.

  • Apple iCloud – If you’re a fan of Apple devices, you’re likely to turn to this cloud storage provider. However, if you’re not tied into the Apple ecosystem, it may be better to look at some of the other options available.
  • Confluence – Australian software company Atlassian may be better known for products including Trello and Jira, but it also offers a reasonable cloud storage service called Confluence, although some believe it has a greater learning curve than some of its competitors.
  • Dropbox – Dropbox was one of the first products to offer users a place to store their digital files online, and was particularly enticing due to the fact that it offered a reasonable amount of free storage. That may no longer be the case (unless you sign up for a free trial,) but Dropbox still offers a solid cloud-storage service.
  • Google Drive – It probably won’t surprise you that Google offers one of the best cloud-storage solutions around, even if you’re a free user, and has a great productivity suite that eliminates the need for expensive paid solutions like Microsoft Office. However, security concerns, including the lack of built-in file encryption and password protection for files, mean even the almighty Google has some work to do before it can claim to be a completely all-round cloud-storage solution.
  • OneDrive – Microsoft OneDrive is likely already familiar to Windows users, as the operating system offers users a limited volume of free cloud storage for certain folders on their computers, while Microsoft Office users also get a free amount of storage as part of the Office package. Unfortunately, this service doesn’t quite offer the same amount of storage space as some of the other services, and file syncing is limited to certain folders on your computer.
